This feature allows organizers to set a maximum number of spots for an activity and automatically place additional participants on a waiting list once the activity reaches capacity. If spots become available (e.g., more seats are added or someone cancels), participants on the waiting list are automatically registered for the activity in the order they joined.
Example Use Case
For a hands-on cooking workshop with limited spots, the waiting list ensures that once the session fills up, interested participants can still express their interest. When a spot opens up, the next person in line is seamlessly added, providing an organized and fair way to manage demand for popular activities.
Step-by-step configuration
1. Open the activity's detailed view and navigate to the Activity settings tab
2. The setting "Registrations required" must have been enabled
3. Enable the setting "Use waiting list" and specify a maximum capacity for the activity
4. In the field "Promotion email" add the email that the participants will receive when they move from the waiting list to being registered for the activity.
Enabling the waitlist in the backend
Participants will see the button "waiting list" when attempting to register for a session with no registration spot available.
Participants first in line will receive the defined email when a registration spot was made available - They are automatically registered for the activity.
