About the designing and ordering of badges & useful information
- You are free to design your badge(s) however you want: Colors, patterns, images, content, fonts, fields, etc. You may also use a different design for the front and the back of the badge, or the same one.
- To create the desired design(s), you must use one of our available badge formats. Any other format will not be accepted.
- Large (most commonly used)

- Name Card
- Alternatively, you can request the Azavista Design team to design your badge(s). This service is available as a supplement.

One kiosk can only support one badge design

For example, 3 kiosks will be required in order to provide 3 different badge designs for 3 different participant types.

Creating a custom design for your badges

MANDATORY | Select a .PDF template: Select one of our available templates to create your design. Any other format will not be valid.

MANDATORY | .PDF format: Your design file(s) must be saved in a PDF, Vector format. The Bitmap format is not readable by our machines.

MANDATORY | Color system: The file must be saved in CMYK. The RGB color system is not readable by our machines.

MANDATORY | Fonts: Fonts must be embedded or converted to Paths/outlines.

Optional | Custom fonts: Should you want to use custom fonts, you will need to upload the applicable fonts in .TTF format in the designated shared folder. Our printers require True Type File formats to print the exact fonts.

MANDATORY | No perf or cutlines on template on the design template: This is important to guarantee the exact size of the connected badge stack.

MANDATORY | Artworks to be delivered with 2mm bleed: This is important to guarantee the exact size of the connected badge stack and cutting after the print process.

MANDATORY | Participant field areas: Use white or very light colors for the area(s) dedicated to the participant fields (i.e. where will be printed, for example, “First_name”, “Last_name”, etc.) This is important to guarantee the high quality of the thermal printing, only available in black. Example

MANDATORY | Participant fields layout: Specify how the fields will be added onto the badge: Print area, font, font size, letter and line spacing, paddings and spaces, etc. Example

MANDATORY | Badge design with & without fields : The design(s) provided must include a version with participant fields (used for the production of the badges), and a version without participant fields (used as a reference when calibrating the thermal printer, onsite). Example

MANDATORY | Multiple designs: If you have more than one design, please make sure to create one file per design. Example

Optional | Printable QR codes: You can reserve a space for the printing of QR codes, which can be used to scan session participation, session check-in and check-out, and event check-out. It can also be used as a lead scan option for exhibitors and as a networking option between participants. The minimal size for the QR code is 123mm x 123mm. Example

Optional | Printable custom icons: You can reserve a space for the printing of custom icons of any design, to identify different types of audiences (e.g. VIPs, Exhibitors, etc.). These can only be printed in black. The minimal size for the Icons is 123mm x 123mm. Example
Placing an order for your custom badges
Step 1 - Upload your design(s): Make sure to include a version with and without the participant fields for each design, into the designated folder. Remember that each design must be a separate file. Example
Step 2 - Design confirmation: An Azavista representative will confirm your order request and design, and forward your designs to the production team.
Step 3 - Proof of concept: The Azavista representative will provide you with a proof of concept (for each design), which you need to confirm.
Step 4 - Production: Once you have confirmed the proof of concept, the production team will create the number of badges you have ordered.
Step 5 - Shipping: The badges will then be shipped within ~5 business days.
