Introduction to Workflows
Overview
The Workflows Module is designed to automate and streamline your event processes, most notably participant registration journeys. This module connects key elements—such as websites, registration forms, content and confirmation pages, emails, and participant profiles—to create a tailored and smooth experience for all of your participants.
With workflows, participants move effortlessly between registration stages. You can set up a straightforward flow, like Invited → Registration Pending → Registered → Checked-In → Post-Event Survey, or design more complex, multi-stage journeys with customized steps for different participant types, approval stages, and other specific registration scenarios.
Whether setting up simple flows or complex multi-step journeys, the Workflows Module empowers you to efficiently manage registrations, tailor processes for different participant types, and streamline event operations—making it an essential asset for effective event management.
Step-By-Step Approach
1. Access the Workflow Module
- On the Event dashboard, go to Workflows.
- Click Workflows in the navigation menu.
- The Workflow canvas will open.
2. Use the Workflow Canvas
- See the Workflow canvas and run canvas actions: change zoom, full screen, show only flow name.
- View the workflow layout displayed on the canvas.

Use the available canvas actions to:
- Zoom in / Zoom out to adjust your view.
- Switch to Full Screen mode for a larger workspace.
- Toggle Show only flow name to simplify the display.
- These actions help you easily navigate complex workflows.
3. Search and Select Workflow Blocks
- Go to the right-hand panel.
- Use the search field to find workflow blocks.
- Select the block you want to configure or add to your workflow.
4. Publish Workflow Changes
- Review your workflow updates.
- Click Publish.
- Your changes are now applied to the live workflow.
5. Revert to Last Published Version
- If you want to undo unpublished changes, click Revert to Published.
- The workflow will return to the last published state.
6. Preview the Website — Public Registration Workflows
- Click Preview Website.
- The preview opens so you can see how the workflow behaves for public-facing registration.
7. Preview the Website — Registration Workflows
- Preview the website by clicking on the Preview Website button — for registration workflows.
- Click Preview Website in the workflow.
- Review the participant experience as it will appear during registration.
