This article offers a comprehensive guide to configuring and using the Check-in App. By the end of this guide, you'll have a clear understanding of how to set up and fully utilize the Check-in App to help you easily check in your attendees.
1. In your event's workflow module, make sure that you have a pre-arrival block connected to an arrival block. This is required to check-in participants from their registered stage to their arrived stage. Participants can be checked-in only if they are in the stage of a pre-arrival workflow block.
2. In your confirmation email (or any other email), add the section "QR code". It will be scanned by the event staff to check the participants in.
3. Open https://3.0.app.azavista.com/o/, this is the link to the check-in app. For private instances, replace "3.0.app.azavista.com" with your own instance name (e.g. https://abcdef.azavista.com/o/). Log in using your regular Azavista credentials. Click your event in the list, this will open the list of participants for this event.
4. Manual check-in: Click on a participant, and click on "Check in" to check them in. In the Participants module of Azavista's main app, this will automatically update the participant's stage from registered -> arrived. You can add more fields to this popup window by clicking the cog icon.
5. QR code check-in: Click the button "Scan QR code" to open your device's camera, scan the QR code and the participant's stage will automatically change from registered -> arrived.
6. Walk-ins: You can check-in participants who did not previously register for the event (who are not in the participant list of Azavista) using the option "Add walk-in".
7. Session check-ins: Click the hamburger menu of the check-in app and select "Sessions & activities", and select the activity for which you want to check-in a participant. Click the participant or select the "Scan QR Code" option to check them in, the participant's activity status will automatically change from registered -> arrived
