Use automated emails to engage participants at key stages of the registration journey. These emails can help you:
Remind invitees to register
Prompt incomplete registrants to finish signing up
Notify registered participants as the event approaches
Send surveys after the event
Share additional content at any stage
You can customize when these emails are sent and to whom, using our Process Builder. With the Process Builder, you can define:
When an email is sent
(e.g. immediately, 5 days before the event, 1 day after attendance)Who receives the email
(e.g. only participants with specific roles, industries, or custom field values)
1. Create the Email
Go to the Content module and create the email you want to send. This can include dynamic fields (e.g. participant name, event title) for personalization.
2. Create a Process
Navigate to Workflows → Processes
Click “New Process” (you can name it something like "Automated Reminder Email").
Click the three-dot menu next to the new process.
Select "Stage change trigger" and select the relevant stage
This means the process will begin once a participant enters a defined registration stage (e.g. Invited, Registered, Arrived, etc.).
3. Open and Edit the Process
Click the newly created process to open it in the Process Builder, and enable the Edit mode.
4. (Optional) Add a Wait Attribute
Use the yellow "+" button to insert a Wait step.
This delays the sending of the email by a specific time after the participant enters the stage.
Example:
Wait for 5 days before the event start date.
5. (Optional) Add a Condition Attribute
Use the blue "+" button to insert a Condition step.
This lets you define filters based on participant data (custom fields).
Example:
Company Manager = Yes
Position = Executive or Manager
Industry = Aeronautics or Naval industries
Only participants matching these criteria will continue through the process.

6. Add the Email Action
Use the green "+" button to insert an Action step.
Select “Email to participant” as the action type.
Choose the email you created in Step 1.
(optional) if you've added a condition and for it to work, nest (drag and drop) the green action attribute under the blue condition attribute.
This email will only be sent after the wait period and if the condition is matched (if you've added those steps).
7. Save the Process
Click Save to activate the process.
From now on, the email will be sent automatically, based on the participant’s stage, the optional time delay, and profile conditions you defined.
