Configuring Event Workflow – Public Registration
Overview
The Public Registration Workflow allows users to design, configure, and manage the participant registration process for an event. By customizing the workflow, users can define registration stages, link forms, configure thank-you pages and emails, and set up additional pages to guide participants through the registration process. This ensures a seamless and automated registration experience while allowing integration with custom processes for further automation.
Step-by-Step Approach
1. Drag and Drop a Public Registration Workflow on the Main Editor
- Access the Workflow Editor from your event configuration dashboard.
- Drag and drop the Public Registration Workflow block onto the main canvas area.
- This initializes the public registration process for further customization.
2. Enter or Edit Workflow Name and Description
- In the workflow details panel, enter or update the Workflow Name and Description.
- Use clear, descriptive names to make the workflow easily identifiable.
3. Enter or Edit the Pending Registration Stage Name
- Specify or modify the Pending Registration Stage Name.
- This stage represents participants who have initiated but not yet completed registration.
4. Select a Form Page from the Form Page Select Field
- Choose the appropriate Form Page to collect participant information.
- This page will appear during the registration process.
5. Select a Thank You Page from the Thank You Page Select Field
- Choose the Thank You Page to display after participants complete the registration.
- This page confirms successful registration and can provide additional instructions.
6. Select a Thank You Email from the Thank You Email Select Field
- Select the Thank You Email template to automatically send confirmation emails to participants.
7. Select Additional Pages Visible in the Workflow from the Pages Select Field
- Add any additional pages you want participants to access during the registration workflow.
- These pages can include information, terms, or optional steps.
8. Click on Edit Details, Lock, or Delete
- Use the workflow block action options:
- Edit Details – Modify workflow settings.
- Lock – Prevent further edits to secure the workflow.
- Delete – Remove the workflow block if it is no longer needed.
9. Connect this Block to Other Blocks: Decline / Pre-Arrival / …
- Link the Public Registration Workflow block to other related workflow blocks such as Decline, Pre-Arrival, or other subsequent actions.
- This ensures a logical progression for participant registration and subsequent stages.
10. Build a Custom Process Sequence for Registration - After registration actions
- Send a follow-up notification or reminder.
- Tag or update participant profile fields.
- Trigger conditional steps based on response.
- Add participants to a segment or group.
- Start another automated workflow.
- Click the + After registration actions button on the Registration block.
- Select the action type you want to include.
- Configure the action details (rules, message content, timing, etc.).
- Repeat this step to chain multiple actions and create a process sequence.
- If required, add conditions so actions trigger only when criteria are met. (e.g., Event-based, Participant-based, Workflow-based etc.).
