Configuring Survey Workflow
Overview
The Survey Workflow allows you to collect participant feedback as part of the event journey. You can configure the workflow to display a form, route users to a thank-you page, send a thank-you email, and control how the workflow stage is counted in reporting. This workflow can also be connected to other workflow blocks to define what happens before and after the survey is completed.
Step-by-Step Approach
1. Drag and drop the Survey Workflow onto the Main Editor
- Go to the Workflow Builder.
- Locate the Survey Workflow block.
- Drag and drop the block onto the Main Editor canvas.
- Position it at the point in the workflow where participants should complete the survey.
2. Click on Edit details, Lock, or Delete
- Edit details – Opens the workflow configuration settings.
- Lock – Prevents any further edits once configuration is finalised.
- Delete – Removes the workflow block from the Main Editor.
Note: Deleting a workflow block cannot be undone.
3. Enter or edit the workflow name and description
- Click Edit details.
- Enter or update the Workflow Name to reflect its purpose (for example, Post-Event Survey).
- Add a Description to help other admins understand the use of this workflow.
- Save your changes.
4. Enter or edit the workflow name SURVEY_PENDING_STAGE_NAME
- Locate the SURVEY_PENDING_STAGE_NAME field.
- Enter the name you want to assign to this stage (for example, Awaiting Survey Response).
- This name is used to identify participants in this workflow stage.
5. Select Count as from the Count as field
- Open the Count as dropdown.
- Select how you want this workflow stage to be counted in reporting and metrics.
- This ensures participants in the survey stage appear accurately in dashboards.
6. Select Forms from the Forms select field
- Open the Forms dropdown.
- Select the survey form you want participants to complete.
- Ensure the form contains the required survey questions.
7. Select Thank You Page from the Thank You Page select field
- Open the Thank You Page dropdown.
- Choose the page users will be directed to once the survey is submitted.
- This page typically confirms successful submission.
8. Select Thank You Email from the Thank You Email select field
- Open the Thank You Email dropdown.
- Select the email template that will be sent after survey submission.
- This email may include confirmation or appreciation messaging.
9. Select additional pages in this workflow
- If required, configure any additional pages that form part of the survey flow.
- These can be used to display supplementary content before or after the survey.
10. Connect the workflow with other blocks
You can connect the Survey Workflow with other workflow blocks, such as:
- Registration stages
- Approval processes
- Completion or confirmation workflows
This ensures the participant continues along the correct journey after completing the survey.
11. Build Custom Process for Engagement Sequence
You can add a custom process that runs before the Survey action is processed. Examples include:
- Send a follow-up notification or reminder.
- Tag or update participant profile fields.
- Trigger conditional steps based on response.
- Add participants to a segment or group.
- Start another automated workflow.
To do this:
- Click the + Engagement Sequence button on the Arrival block.
- Select the action type you want to include.
- Configure the action details (rules, message content, timing, etc.).
- Repeat this step to chain multiple actions and create a process sequence.
Apply Conditions (Optional):
- If required, add conditions so actions trigger only when criteria are met (e.g., Event-based, Participant-based, Workflow-based, Product-based, etc.).
12. Build Custom Process for After Survey Actions
You can also add a custom process that runs after the Survey action is completed.
- Repeat this step to chain multiple actions.
Apply Conditions (Optional):
- If required, add conditions so actions trigger only when criteria are met (e.g., Event-based, Participant-based, Workflow-based, Product-based, etc.).
Result
Once configured, the Survey Workflow ensures participants are guided smoothly through the feedback process. Their responses are captured, acknowledged, and reported accurately, and they continue along the appropriate workflow path based on your configuration.
