Configuring Event Workflow – Arrival
Overview
The Arrival Workflow allows users to manage and automate participant actions upon arrival at an event. Users can define stages, connect forms, configure thank-you pages and emails, add engagement sequences, and continue the workflow automatically. By configuring this workflow, event organizers can streamline on-site processes, ensure timely communications, and automate post-arrival actions efficiently.
Step-by-Step Approach
1. Drag and Drop Arrival Workflow on the Main Editor
- Access the Workflow Editor from your event configuration dashboard.
- Drag and drop the Arrival Workflow block onto the main canvas.
- In the edit view, the workflow includes fields such as Stage Name, Forms, Thank You Page, Thank You Email Name, Engagement Sequence, and Continue with Workflow.
2. Enter or Edit Workflow Name, Description, Stage Name, and Continue After Seconds
- Enter or update the Workflow Name, Description, and Stage Name in the details panel.
- Set the Continue After (seconds) value to define how long (in seconds) the system waits before automatically continuing the workflow.
3. Select Thank You Page and Thank You Email Name from the Select Field
- Choose the appropriate Thank You Page to display after arrival actions are completed.
- Select a Thank You Email template to send automated confirmations or instructions to participants.
4. Toggle On/Off Continue with Workflow
- Use the Continue with Workflow toggle to enable or disable automatic progression to the next workflow stage.
5. Additionally, Add/Select Engagement Sequence and Pages Visible in the Workflow
- Add or select Engagement Sequences to schedule reminders, notifications, or other participant interactions.
- Include additional pages visible in the workflow using the Pages Select Field.
- These pages can provide instructions, event information, or optional steps for participants.
6. Click on Edit Details, Lock, or Delete
- Use the action options available for the workflow block:
- Edit Details – Modify workflow settings and fields.
- Lock – Prevent further changes to the workflow configuration.
- Delete – Remove the workflow block if it is no longer required.
7. Connect Workflows to Define Sequence via Input/Output Connectors
- Connect the Arrival Workflow block to other workflow blocks on the canvas to create logical sequences (for example: Pre-arrival → Arrival → On-site Check-in).
- Use input/output connectors to control the flow of participants between stages automatically.
8. Build a Custom Process Sequence for Arrival - Engagement Sequence
- Send a follow-up notification or reminder.
- Tag or update participant profile fields.
- Trigger conditional steps based on response.
- Add participants to a segment or group.
- Start another automated workflow.
- Click the + Engagement Sequence button on the Arrival block.
- Select the action type you want to include.
- Configure the action details (rules, message content, timing, etc.).
- Repeat this step to chain multiple actions and create a process sequence.
- If required, add conditions so actions trigger only when criteria are met. (e.g., Event-based, Participant-based, Workflow-based etc.).
