Configuring Event Workflow – Decline
Overview
The Decline Workflow allows event organizers to manage and automate participant actions when a registration or invitation is declined. Users can customize the decline process by defining stages, configuring forms, sending decline emails, and linking workflows for seamless event management.
Step-by-Step Approach
1. Drag and Drop the Decline Workflow on the Main Editor
- Access the Workflow Editor from your event configuration dashboard.
- Drag and drop the Decline Workflow block onto the main editor canvas.
- The edit view will display the following fields: Decline Stage Name, Disable Forms, Forms, Decline Email, Decline with Reason, Continue Registration, Initiation Sequence, and Finalisation Sequence.
2. Edit Workflow Details
- Click the Edit Details icon to modify workflow configurations.
- You can also use the Lock or Delete options to secure or remove the workflow.
3. Enter or Edit Workflow Information

In the edit view, enter or update the following details:
- Workflow Name – Provide a name for the workflow.
- Description – Add a brief description of its purpose.
- Decline Stage Name – Define the specific stage for the decline action.
- Decline with Reason – Enable participants to provide a reason for declining.
4. Configure Form Options
- Toggle Disable Forms on or off to control form accessibility during the decline process.
- If forms are enabled, select the desired Forms from the dropdown list.
5. Configure Decline Email and Continue Registration Options
- Select the Decline Email template from the available options to send automated decline notifications.
- Use the Continue Registration option to redirect users to continue registration after decline, if applicable.
6. Add Sequences
- Add an Initiation Sequence to define automated actions that occur when the decline process begins.
- Configure a Finalisation Sequence for actions to be triggered once the decline process is completed.
7. Connect Workflows
- Connect related workflows using input connectors to define the process sequence. Example: Invitation → Registration → Decline.
- This ensures smooth transitions between workflow stages for a seamless participant experience.
8. Build a Custom Process for Initiation Sequence
- Send a follow-up notification or reminder
- Tag or update participant profile fields
- Trigger conditional steps based on response
- Add participants to a segment or group
- Start another automated workflow
- Click the + Initiation Sequence button on the Decline block.
- Select the action type you want to include.
- Configure the action details (rules, message content, timing, etc.).

- If required, add conditions so actions trigger only when criteria are met (e.g., Event-based, Participant-based, Workflow-based etc.).
