Creating and Managing Products in Tickets and Products
Overview
The Products section under Tickets and Products allows administrators to create, configure, and manage sellable items such as tickets, sessions, custom items, and discounts. Products can be configured with pricing, currency, quantity limits, taxes, cancellation terms, dependencies, and sales schedules. Once created, products are made available to participants through the shopping cart and can be tracked through orders at the event level.
Accessing the Products Module
- Navigate to Tickets and Products from the main menu.
- Select Products from the sub-menu.
- The Products list is displayed, showing all available products for the event.
Creating a Product
- Click + Create Product.
- The product creation form opens.
- Configure the product using the fields described below.
- Click Save to create the product.
Configuring Product Details
Basic Configuration
Price
- Enter the price for the product.
- Products can also be created with price = 0.
- When the price is zero, the system automatically falls back to the Azavista invoice system, without using a payment integration.
Currency
- Select the currency for the product.
- Over 50 supported currencies are available.
Tax
- Select the applicable tax rule to be applied to the product price.
Quantity Settings
Min Quantity per Buyer
- Define the minimum number of units a participant must purchase.
Max Quantity per Buyer
- Define the maximum number of units a participant can purchase.
Allow Participant to Buy Multiple Units
- Enable this option to allow participants to purchase more than one unit of the product.
Define Max Units
- Set an upper limit on the total number of units that can be sold.
Cancellation Terms
- Select the appropriate cancellation terms for the product.
- Cancellation terms define cut-off days and associated costs that apply when a participant cancels a purchase.
Selecting a Product Type
Each product must have a defined type:
Ticket
- Used for event access.
- Appears in the participant shopping cart as an event ticket.
Session
- A session selector becomes available.
- Use it to assign the product to one or more event sessions.
Custom
- Used for add-ons, merchandise, or other non-ticket items.
Discount
- Used to apply price reductions to eligible products or orders.
Advanced Product Configuration
Schedule Sales Start
- Define when the product becomes available for purchase.
- Sales can be scheduled to start at a specific date and time.
Product Dependencies
- Select a dependency to control product availability.
- For example, a product may only be purchasable if another product has already been selected.
Reordering Products
Products can be reordered to control their display sequence in:
- The shopping cart
- The product listing
Reorder Products
- Click the Re-order Products hyperlink.
- A popup opens showing all products.
- Reorder products by drag and drop:
- Move products from top to bottom or bottom to top.
- Use additional options:
- Sort by Alphabet – Sorts products alphabetically.
- Reverse – Reverses the current product order.
- Save the changes to apply the new order.
Reordering ensures that the most important products appear first for participants.
Participant Experience: Shopping Cart Validation
As a Participant, the shopping cart allows you to:
- Validate the product information
- Validate the selected product quantity
- Validate the selected currency in the shopping cart and transactions
- View the session associated with a purchased ticket
Accessing Orders (Admin)
Orders – Event Level
- Navigate to Tickets and Products.
- Select Orders.
- View all orders placed by participants for the event.
From the hamburger menu, administrators can:
- Perform a full refund
- Export the order
- Update tags on the order
- Mark the order as closed
Order Detail View (Event Level)
Within an individual order, administrators can:
- View complete order details
- Access the Order Items tab to see all purchased products
- Review the Transaction Log for payment history and status updates
