Accessing and Managing System Emails in Azavista
Overview
The System Emails section in Azavista allows users to manage automated emails sent to participants for key actions such as account creation, confirmation codes, password resets, and login access. These emails ensure seamless communication and secure participant interactions within the platform.
Step-by-Step Approach
1. Access the System Emails Menu
- On the General Dashboard, navigate to the Organisations menu.
- Select System Emails from the submenu.
You will be redirected to the System Email listing page.
2. View the System Email Listing
- On the listing page, you can see all configured system emails.
- Review details such as:
- Email Name
- Email Sub-Type
- Theme
- Header
- Footer
- Status
This helps you monitor and manage all automated communications in one place.
3. Add a System Email
- Click on the Add System Email button.
- Select the appropriate email type based on your requirement:
- Participant Account Creation
- Participant Confirmation Code
- Participant Password Reset
- Participant Login Link
- Configure the email content and settings as needed.
- Click Save.
The system email will now be available and triggered automatically based on the selected use case.
4. Change Theme (Multi-row / Single Action)
- Select one or multiple system emails from the listing.
- Click on Change Theme.
- Choose the desired theme.
- Apply the changes.
This updates the visual styling of the selected email templates.
5. View Details
- Locate the desired system email.
- Click on View Details.
You can review the full configuration and content of the selected email.
6. Edit Template
- Find the system email you want to modify.
- Click on Edit Template.
- Update the content, layout, or variables as needed.
- Click Save.
The updated template will be used for future triggered emails.
7. Unpublish a System Email
- Locate the email in the listing.
- Click on Unpublish.
- Confirm the action.
The email will no longer be active or triggered.
8. Change Name
- Find the system email in the listing.
- Select Change Name from the available actions.
- Enter the new name.
- Save the changes.
This helps keep your email templates organized and easily identifiable.
9. Archive a System Email
- Locate the system email you want to archive.
- Click on Archive.
- Confirm the action.
The email will be moved to archive and will no longer be active.
Key Notes
- System Emails are triggered automatically based on participant actions.
- Unpublished or archived emails will not be sent.
- Changes to templates apply only to future emails.
- Ensure proper configuration before publishing emails.
