Importing participants from a spreadsheet allows you to quickly and efficiently add participant data to your event. This process ensures that all necessary fields are populated within the Participants module of the Azavista platform.
Before proceeding with the import, ensure that all of the mandatory fields (email, first name, last name) were added to the spreadsheet, and that your custom fields (i.e., spreadsheet columns) exist in Azavista. If needed, create the corresponding fields and predefined values (for select/multiselect fields) before importing, in the module Fields manager.

1. Access the Participants Module
At the event level, navigate to the Participants module and click the "+ Participants" button.
2. Upload the Spreadsheet
Azavista will read the spreadsheet and prepare the import process.
3. Map fields
In the "Map Field" step, confirm which spreadsheet columns correspond to which Azavista fields. If a field name matches exactly, mapping is done automatically; otherwise, you’ll need to assign fields manually.
4. Map fields values
This step is similar to mapping fields, here instead for the values of a field (in the case of select & multiselect fields).
5. Review and Update Import Errors & Duplicates
In these steps, correct any incorrect data and resolve duplicates. If duplicates exist, choose whether to keep the version from the spreadsheet or the one already in Azavista.
6. Match Organizations (Applicable to the "Company" field only)
If your spreadsheet includes a Company (or Organization) field, confirm the assignment of participants to their respective organizations.
7. Preview & Finish
Review the data one last time, then confirm the creation of participants in the Azavista Participants module.
8. Final Review & Updates
After the import is complete, check the list of participants. You can always update the participants profiles later as needed.
