Setting and Validating Event Status for the Event
Overview
Event Status controls an event’s lifecycle, accessibility, and participant experience. Administrators can set statuses such as Draft, Approved, Published, No registration, and Cancelled (paid events) to manage when an event is visible, whether registration is allowed, and how cancellations are handled for paid events. Participants will see different behaviours on the event website depending on the selected status.
Step-by-Step Approach
1. Expand the Event Status section
- Open the Event Dashboard and go to Event Settings.
- Locate the Event Status section and click the header to expand it and view available status options.
2. Select Event Status: No registration
- As a User: Choose No registration to disable the registration form for this event.
- As a Participant: The registration form will not be accessible while this status is active.
3. Select Event Status: Published
- As a User: Select Published to make the event website publicly available according to visibility settings.
- As a Participant: The event website will be accessible when the event status is Published.
4. Select Event Status: Cancelled (for paid events)
- As a User: Choose Cancelled (for paid events) to cancel the event. This typically initiates the cancellation workflow and refund processing where applicable.
- As a Participant: Participants of paid events will be notified of the cancellation and may receive a refund according to the organiser’s refund policy and payment provider rules.
5. Select Event Status: Approved
- As a User: Set the event to Approved to indicate it has passed internal review or is ready for publishing workflows.
- As a Participant: Participants will see an approval validation or status indicator on the event website where applicable.
6. Select Event Status: Draft
- As a User: Use Draft to keep the event unpublished and editable while you make changes.
- As a Participant: Draft status indicates the event is not yet available; participants may see messaging that the event is in draft or unavailable.
Save your changes
- After selecting the desired status, click Save or Apply to commit the change.
- Some status changes (for example cancelling a paid event) may trigger additional prompts or workflows—follow any on-screen instructions to complete those actions.
Tip: Status visibility and certain actions (like cancelling paid events or issuing refunds) may be restricted based on your user role and permissions. If you do not see a status option or cannot perform an action, contact your administrator.
