Overview
In events where Multi-Registration or Group Registration is enabled, a primary participant can register multiple sub-participants under a single booking. The Check-In App provides full support to manage these sub-participants efficiently during on-site operations.
Through the Check-In App, users can:
- View all sub-participants linked to a primary participant
- Print individual badges for each sub-participant
- Perform independent check-in actions for sub-participants
This functionality ensures that each sub-participant is treated as an individual attendee while still being associated with a parent registration, enabling accurate tracking, smoother entry management, and better on-ground coordination.
Step-by-Step Approach
1. View Sub-Participants in Participant Listing
The Check-In App allows users to easily identify and access sub-participants within the participant list.
Steps:
- Launch the Check-In App and select the relevant event.
- Navigate to the Participant Listing screen.
- View the list of associated main and sub-participants.
Key Points:
- Each sub-participant entry typically displays key details.
- The status (e.g., Registered, Arrived) is visible for each sub-participant individually.
2. Print Badge for a Sub-Participant
Each sub-participant can have their own badge printed directly from the Check-In App.
Steps:
- From the Participant Listing, locate and select the desired sub-participant.
- Go to More Options (⋮) and select Check In Participants.
- On the check-in participants pop-up, select Badge.
- Ensure:
- The correct badge template is assigned.
- The appropriate printer is selected and connected.
- Click Print and Save.
What Happens Next:
- The system sends the badge data to the configured printer.
- The badge is printed with the sub-participant’s personalized details (e.g., name, company, QR code).
Key Points:
- Badge printing is independent for each sub-participant.
- Any updates to participant data prior to printing will reflect on the badge.
- Ensure printer connectivity and configuration to avoid delays.
3. Check-In a Sub-Participant
Sub-participants can be checked in individually, regardless of the check-in status of the primary participant.
Steps:
- In the Participant Listing, locate the sub-participant.
- Select the sub-participant entry.
- Go to More Options (⋮) and select Check In, or click directly on the sub-participant.
- On the pop-up, click Check In.
What Happens Next:
- The system updates the participant’s status to Arrived.
- A timestamp of the check-in may be recorded.
- The status change is reflected instantly in the participant list.
Key Points:
- Sub-participants can be checked in:
- Independently of the main participant
- In any order (no dependency sequence required)
- Duplicate check-ins are typically restricted or flagged by the system.
- Real-time status updates help avoid re-entry or duplication issues.
Result
By leveraging the Check-In App, users can efficiently manage sub-participants by viewing their details, printing badges, and completing the check-in process individually. This ensures a streamlined check-in experience, accurate attendance tracking, and improved operational efficiency for events with group or multi-registrations.
Additional Tips / Best Practices
- Always verify participant details before printing badges.
- Ensure printers are tested prior to event start.
