Configuring Registration Waiting List By Category Event Workflow Automation

A Registration Waiting List By Category Automation Event Workflow allows you to manage registrations based on participant categories. You can define category-specific capacity limits, configure waiting list behavior, select forms and content pages, and automate communication with participants based on their registration or waiting list status.

Step-by-Step Approach
1. Add an automation workflow for Registration Waiting List By Category Template
- Add a new Automation Event Workflow and assign it to a Registration Waiting List By Category Template.
- Enter or edit the Name of the workflow.
- Click Save.
2. Enter or edit Name
- Enter or update the Name of the workflow to clearly identify it.
3. Select Capacity By Category
- Open the Capacity By Category section.
- Select the category for which you want to define participant limits.
4. Enter or edit participant count for selected category value
- Enter or update the maximum number of participants allowed for the selected category.
5. Enter or edit maximum Event participant Capacity in participants
- Enter or update the overall maximum participant capacity for the event.
6. Enter or edit Reserved Time to Complete Registration value and duration
- Specify how long a participant has to complete their registration once they begin the process.
- Enter both the value and duration unit (for example, minutes or hours).
7. Enter or edit Registration Pending Stage Name
- Enter or update the Registration Pending Stage Name to define how this stage appears in the workflow.
8. Select Forms from Forms select field
- Open the Forms dropdown field.
- Select the form(s) participants must complete during registration.
9. Select Thank You Email from Thank You Email select field
- Open the Thank You Email dropdown field.
- Select the email template sent to participants once registration is complete.
10. Select Thank You Page from Thank You Page select field
- Open the Thank You Page dropdown field.
- Select the page participants will see after completing registration.
11. Select pages visible in this workflow from pages visible in this workflow select field
- Select the pages that should be accessible to participants during the registration workflow.
12. Select / Unselect Use waiting list
- Enable or disable the Use waiting list option to control whether participants exceeding capacity are added to a waiting list.
13. Select Maximum time to start with registration value and seconds
- Enter the maximum time allowed for participants to start registration after receiving access.
- Specify the time value and select seconds as the duration unit.
14. Enter or edit Waiting List Stage Name
- Enter or update the Waiting List Stage Name to define how this stage appears in the workflow.
15. Select Waiting List Thank You Page from Waiting List Thank You Page select field
- Select the Waiting List Thank You Page displayed to participants placed on the waiting list.
16. Select Email to inform Participant is on waiting list from Email to inform Participant is on waiting list select field
- Choose the email template used to notify participants when they are added to the waiting list.
17. Select Email to Inform Participant spot is available from Email to Inform Participant spot is available
- Select the email template used to notify waiting list participants when a spot becomes available.
18. Select Next Workflow from Next Workflow select field
- Open the Next Workflow dropdown field.
- Select the workflow that should run after this one is completed.
19. Select Decline from Decline select field
- Select the Decline workflow that will run if a participant declines the registration opportunity.
20. Click on Save button
- Click Save to apply and activate the Registration Waiting List By Category Automation Event Workflow configuration.
