Validating Activity Settings as a Participant
Overview
Participants experience activities differently depending on how each activity
is configured. Registration rules, capacity limits, dependency settings,
approval flows, and grouping logic all affect what a participant can see
and register for.
This article explains how activity settings behave from the participant perspective
so you can validate your configuration.
Step-by-Step Approach
1. Registration-Required Activities
- See activities in the Sessions and Activities widget only when registration is required.
- Not see activities that do not require registration in the registration form
- This ensures only relevant activities appear during registration.
2. Approval-Required Activities

When a participant registers for an activity that requires approval:
- The registration is recorded with Approval Pending status
- The participant will not be fully confirmed until approved.
3. Dependency-Based Activities
- Only see and register for activities that meet the dependency conditions.
- Or see all activities with no dependencies configured.
4. Waiting List Activities

When an activity has a waiting list enabled and is full:
- Participants can still register
- Their registration will show Waiting List status
- They will be promoted to confirmed when a place becomes available.
5. Activity Status
- Register only for Active activities
- Inactive activities will not be available for selection
6. Maximum Number of Activities Allowed per Condition

If a maximum number of activities is configured for a participant
condition:
- Participants can register up to the defined limit.
- Once the limit is reached:
- The remaining activities become unavailable
- The participant cannot register for additional activities under that condition
7. Register for overlapping (coinciding) activities
- If overlapping registrations are enabled, participants can register for multiple activities even when their schedules overlap.
8. Activity Groups
- Participants can register for only one activity within that group

The rest of the activities in the same group become
unavailable
for that participant
This ensures participants do not double-book grouped sessions.
9. Register for Coinciding Activities
- If overlapping registrations are allowed, you can register for activities that occur at the same time. If this setting is disabled, the system prevents registration for conflicting activities.
