Scheduling Emails for the Participants for an Email Template
Overview
The Email Scheduling feature within an Email Campaign allows users to manage when emails are sent to participants. Users can view scheduled emails, modify delivery timings, trigger immediate sends, or remove scheduled emails as needed. This ensures better control over communication and improves campaign effectiveness.
Step-by-Step Approach
1. Access the Email Schedule Listing
- On the Event Dashboard, go to the Content module.
- Click on Email Campaigns.
- Select an existing campaign or create a new one.
- Click on Sending Schedule to access the schedule listing.
You will see a listing of all scheduled emails associated with participants.
2. View Scheduled Emails
- In the listing, review the scheduled date and time for each email.
- Check additional details such as:
- Status
- Send Time
- Sent At
This helps you track upcoming communications and monitor delivery timelines.
3. Reschedule an Email
- Locate the desired email in the listing.
- Go to More Options (⋮) and select Reschedule.
- Select a new date and time.
- Save the changes.
The email will now be sent at the updated scheduled time.
4. Send Email Immediately
- Find the email you want to send.
- Go to More Options (⋮) and select Send Now.
- Confirm the action when prompted.
The email will be delivered instantly to the selected participant(s), overriding the existing schedule.
5. Delete a Scheduled Email
- Find the email you want to delete.
- Go to More Options (⋮) and select Delete.
- Confirm the deletion.
The scheduled email will be permanently removed and will not be sent.
Key Notes
- Only emails with a Scheduled status can be rescheduled or deleted.
- Send Now does not override actions for emails that have already been sent.
- Deleted emails cannot be recovered.
